Secretary


Service Care Solutions are currently recruiting for a Secretary on behalf of a Police force based in Warrington.

This is a 6 month fixed term contract with the high likelihood of extension.

The role is a full time position - Monday to Friday - 9am till 5pm.



About the role :


To provide an efficient and effective confidential support service to the ROCU Command Team, maintaining flexibility to ensure a professional service is provided at a regional level.


Responsibilities :



  • Organise and maintain the diaries of the Command Team on a day-to-day basis, arranging and coordinating meetings and appointments to enable an efficient, effective and confidential service to be provided.

  • Provide the Command Team with a professional business support service, to support key meetings, preparing and disseminating agendas and actions on their behalf, thus enabling them to carry out their functions effectively.

  • Vet incoming correspondence, both conventional and electronic addressed to the members of the Command Team, deciding on the most appropriate manner by which it should be dealt with, thus ensuring only relevant correspondence/emails are filtered through to them for their attention.

    Maintain an efficient records/filing system for confidential papers, correspondence and files.

  • Provide written and oral briefings to the Command Team to keep them updated on key issues both internal and external, local and national.

    Prepare orders, bulletins and other relevant documentation, ensuring research is carried out into various topics prior to circulation.



About you :



  • Candidate should possess excellent secretarial skills including, shorthand / speed writing, audio typing and word processing together with experience in a secretarial role.

    Post holder should be comfortable working with a Command Team in order to provide an effective service.


  • The post holder will ideally have experience of servicing key meetings and must be able to produce accurate and concise actions to meet deadlines.

  • Candidate must have ability to develop a comprehensive understanding of the organisation, main departments and key individuals, internal and external, to enable post holder to provide briefings to the Command Team and deal with correspondence and telephone calls on their behalf.

  • Post holder should have excellent organisational skills and time management together with experience of diary management, working to deadlines and prioritising work in a pressurised environment in order to provide an effective service.

  • A high degree of communication skills both verbal and written is required and an ability to understand issues of sensitivity and confidentiality when dealing with internal and external customers.

  • Highly proficient in use of various IT packages, including Microsoft Word, Excel, PowerPoint and Outlook, so that appropriate packages are used to produce high quality documents.
