Personal Assistant - Police

Service Care Solutions are looking for a Personal Assistant to work on a full-time contract with the local Police Force, Fire Service, and Crime Commissioner in Kelvedon, Essex.


Main purpose of the role:



  • To provide a comprehensive, professional, efficient and effective PA service to the Police, Fire and Crime Commissioner (PFCC), to include the management of their schedule; organising meetings and events; responding to and drafting correspondence for approval; maintaining the security of information and files, and responding to telephone enquiries.


Main responsibilities:



  • Manage all administrative, secretarial and personnel administration functions on behalf of the PFCC.

    This will involve liaising with a wide and diverse range of partners and stakeholders, including MPs, Council Leaders and Chief Executives and senior Government officials as well as wider local and national partners.


  • Manage the electronic and paper in-boxes of the PFCC, categorising and flagging incoming mail according to its importance and urgency.

    Record and manage all correspondence coming into the PFCC and ensure that this is responded to in a timely manner.

    Use personal knowledge and judgement to prepare correspondence and responses in accordance with the stated timescales, and ensure that relevant correspondence is brought to the timely attention of the PFCC, Deputy PFCC and / or Senior Management Team (SMT) as required.

  • Proactively manage the PFCC's diary in accordance with their priorities and requirements, including scheduling appointments; arranging meetings, teleconferences and high level engagements; booking conferences, and making the associated travel and accommodation arrangements.

    Proactively prevent commitment conflicts in the PFCC's schedule, identifying options and recommendations to resolve any issues emerging.

    Plan and support external visits, ensuring that guests are appropriately treated; positive relationships are fostered, and that such visits are purposeful and productive for all concerned.

    Accompany and support the PFCC as required on external visits and events.

  • Ensure that decisions and other matters requiring sign-off by the PFCC or their representative are actioned within the timescales required.

  • Manage access to information and files in line with the General Data Protection Regulation (GDPR) and Government Security Classifications.


  • Provide administrative support to a small number of the key governance boards chaired by the PFCC including preparing agendas; collating and distributing agenda papers, minutes and action logs; tasking out actions and monitoring the progress of their delivery.

  • Ensure that the PFCC has all the information, papers and briefings they need in order to chair and participate in various meetings effectively.


  • Minute other meetings and prepare reports and presentations as required from longhand, shorthand or audio input.

    This will include handling items of a highly confidential and / or sensitive nature in an appropriate manner.

  • Maintain close working relationships with senior officers and elected representatives within the PFCC's office, Essex Police, Essex County Fire and Rescue Service, local authorities, relevant Government departments,

  • the Association of Police and Crime Commissioners (APCC), other Commissioners' offices and other key partner organisations - along with their support teams - in order to facilitate the above.
