Lettings Coordinator


One of the largest housing associations in Devon is recruiting for a Lettings Coordinator to deliver a high quality lettings service and take the lead in delivering the efficient and effective letting of empty properties to minimise relet times, and minimise void costs, across Devon.

This role is home working, so the vacancy is open to candidates based across the UK.



The Role
The focus of this Lettings Coordinator role is to support the Lettings Manager in the provision of a high quality lettings service to existing and prospective residents and taking a lead in the efficient and effective letting of empty properties to minimise relet times, and minimise void costs.

This will also include the following tasks and responsibilities:



  • Communicate effectively with internal and external customers.

  • Respond to incoming communications and offer specialist advice to customers about lettings matters.

  • Manage the correct coding and approval on all invoices raised through the voids process highlighting any areas of concern

  • Provide a contact point between the Tenancy Services and other departments on all aspects of the voids and lettings process.

  • Effectively and efficiently utilise all systems and software including the accurate inputting of data.

  • Work with Housing Officers to ensure all viewings, pre-tenancy chats are booked using their Outlook diaries, ensuring that any appointments are making best use of their time.

  • Ensure that customer data is collected, entered and recorded on our systems in line with policies and procedures

  • Ensure that properties are advertised through choice-based lettings systems in a timely manner and accurately include all applicable restrictions and preferences that might need to apply, e.g.

    s106s, disabled adaptations.

  • Liaise with local authorities' partners and choice based lettings providers on a case by case basis in the event of a lettings dispute of complex enquiry.

  • Carry out a comprehensive verification check on all lettings

  • Ensure that choice-based lettings bidders are shortlisted in line with policies and procedures

  • Ensure that all prospective new and existing customers have had an affordability assessment completed by the FIO




The Candidate
To be considered for this Lettings Coordinator role you will require previous experience working within the lettings sector, ideally within a housing association or local authority setting.

You will also require working knowledge of the CBL and a proven track record of voids turnaround.


This role is home working, so the vacancy is open to candidates based across the UK.
Due to the nature of clients you will be supporting in this role, to apply you will require an enhanced DBS on the update service.

The Contract
This is a temporary position, on an initial 3 month contract.

The role is working full time, 36.25 hours per week, Monday to Friday.
