Executive Assistant

Job Title: Executive Assistant
Salary: £30,531
Hours: 37 hours per week
Type: Permanent contract
Based: Sevenoaks, TN13

Responsibilities -

, Provide efficient administrative and secretarial services to the development and sales team including secretarial support to the Director of Property Development and Partnerships
, Deal with routine correspondence including incoming post, co-ordinating contracts and legal documents for signing and sealing
, Responsible for diary management, co-ordinating and circulating meeting agendas, taking minutes and creating clear action plans in order to follow up and close down all outstanding actions by the team
, Ensuring the Director of Property Development and Partnerships and the wider team meet reporting deadlines, including proof reading, co-ordinating and collating papers ready for submission
, Responsible for the teams electronic/manual document and filing system ensuring files are saved and stored in the correct location and format
, Be the gatekeeper for record keeping for a variety of key contractual elements, including payment terms of contracts, digital and hard copies of contracts etc.
, Assisting the team with handovers and follow up on outstanding defects and snagging
, Support the team in processing invoices in a timely and efficient manner
, Processing and distributing handover documents to key stakeholders within a timely manner to support us to let and sell our new homes
, Be the key point of contact between the development and sales directorate and internal and external partners, redirecting enquires to the relevant heads of service and team members where applicable
, Build successful collaborative relationships with all customers, colleagues, partners and other external stakeholders
, Look to continuously improve our processes and use of systems to maximise efficiencies and performance
, Comply with policies and procedures including data handling, health and safety and other regulations in place to protect you, customers and your colleagues

Essential Criteria -

, Motivated and enthusiastic individual who will proactively manage their duties with minimal supervision required.
, Be a confident team player with the ability to speak out in team meetings, raise challenges and suggest improvements to ways of working where appropriate.
, Experience of providing efficient administration and secretarial support to a busy team

, Ability to write in a clear and appropriate way to suit difference audiences and excellent attention to detail
, Experience in dealing with contracts and drawing out key information such as payment terms and deadlines.
, Ability to read cashflows and spreadsheets
, Experience of diary management, taking and producing minutes/action plans
, A clear communicator with the ability to build strong working relationships both internally and externally
