Practice Administrator Offender Health - HMP Ranby (Cat C)
Purpose of Job:
To provide enhanced administrative, data, It and professional support to the healthcare team within HMP Ranby.
Monday - Friday: 8am - 4pm (37.5 hours per week)
Temporary with view to extend
To identify and contribute to the development, implementation and maintenance of administrative systems and processes, to support the delivery of healthcare services within the prison.
To ensure the provision of an efficient secretarial, clerical and administrative service to the team on a daily basis.
Provide comprehensive secretarial, clerical and administrative support to the Assistant Practice Manager, Head of Offender Health, GPs, Nurses and Team Leaders.
Ensuring provision of work is to a high standard of accuracy and presentation, often working to tight deadlines and under pressure.
Liaise with external organisations as required, contributing to continuity of care for patients for court, transfer establishments or upon release.
Word process correspondence including letters, memo's and collating reports.
Filing, photocopying, scan and attaching documents.
Input data and maintain databases.
Input accurate data onto SystemOne ensuring timely and accurate reports are provided to the Assistant Practice Manager and Head of Offender Health.
Support the clinical team in the organising and facilitation of clinics and diaries, using SystemOne rota types and ledgers.
Manage the SystemOne rota's, ensuring accurate records for data collection
Provide SystemOne training to all staff and be the point of contact for SystemOne advice and guidance for all staff members
Be responsible for the production and review of SystemOne protocols
Be responsible for data collection from SystemOne, to support reporting and Key Performance Indicators.
Work closely with the Head of Offender Health in relation to exception reporting for Key Performance Indicators.
Attend meetings as a minute taker and be responsible for producing and circulating minutes.
Support the clinical managers in the production of the staff off duty.
Be responsible for managing own work load, consulting with the Assistant Practice Manager if required.
The duties and responsibilities of the post will be undertaken in accordance with the policies, procedures and practices of Nottinghamshire Healthcare NHS Trust.
It is the post holder's responsibility to ensure they keep up to date with these policies and other policy documents.
This includes Infection Control and Health and Safety.
Knowledge, Training and Experience:
- Prison clearance is essential
- A comprehensive working knowledge of SystemOne and Microsoft Office software
- GSCE Maths and English Grade A-C or equivalent
- NVQ level 3 or equivalent experience
- RSA III typing or equivalent experience
- Experience of training staff
- Demonstrate effective administrative and organisational ability over a wide range of tasks: e.g.
diary management, record keeping, statistics, organising meetings, distributing agendas/minutes
